Which files
Bring every place your students are recorded. The same child in two files becomes one student with the details from both: UDISE+ gives you PENs and categories, your software gives you admission numbers and phone numbers, and a hostel sheet adds its own columns. A good set for most schools is:
- the UDISE+ active students download, and
- the student list from your software, or your own Excel register if you have no software.
On the Files step, the order of your files matters only when two files disagree about a detail: the file higher in the list wins. Move files up and down with the arrows.
UDISE+
Every recognised school can download its active students from the UDISE+ Student Database Management System. You don't need anything from your software company. (There is also a picture guide.)
- Open sdms.udiseplus.gov.in and log in with your school's 11-digit UDISE code and SDMS password.
- In the menu on the left, open List of all students.
- Choose Active students.
- Press Download Excel (top right). Upload that file here as it is: don't edit it first.
| It gives | Class, section, name, gender, PEN, parents' names, social category, minority group, BPL, special needs and stream for every active student. |
| It doesn't have | Admission numbers, dates of birth, phone numbers and addresses. Add your own register or software's student list alongside it and the two are joined student by student. |
Excel and our template
Upload your own sheets as they are: one student per row, any column order, headings in English or Hindi (नाम, पिता का नाम, कक्षा and जन्म तिथि are all understood). Several sheets in one workbook are fine; a sheet that isn't a list of students is set aside, and you can tell us it is one.
From Google Sheets, use File, Download, Microsoft Excel (.xlsx). CSV files work too, in any common encoding.
No sheet at all? Download the template on the Files step. It has these columns, and only the student's name is required:
Admission number Student's full name Class Section Stream Roll number Date of birth Gender Father's name Mother's name Guardian's name Guardian's relation Mobile number Alternate mobile Parent's email Address City / village Pincode Social category Blood group Religion Mother tongue PEN (UDISE+ student code) APAAR ID Date of admission Previous school Office notes
Write dates day first (14/08/2014), classes as 1 to 12 or Nursery, LKG, UKG, and leave the admission number blank to have the student numbered in your own admission series. Delete the example row before uploading (if you forget, it is left out anyway).
Your school software
From any school software, export the student list to Excel or CSV: the report with every student's admission number, name, class and section, date of birth and parents' details. You don't need to tidy it. Report titles, the session line, “Class : VII Section : A” divider rows, subtotals, headings repeated on every printed page and footers are all recognised and skipped, and a divider's class is applied to the students under it.
| Software | What to export | Guide |
|---|---|---|
| Entab CampusCare | The Student Master or student details report, as Excel (.xls/.xlsx) or CSV. Each class's list works too. | General steps |
| Fedena | The Custom Report of students, as CSV. | Step by step |
| Teachmint (and MyClassCampus) | The student list, as Excel. Each class's list works too. | General steps |
| MyClassboard | The Student Nominal Roll Report, as Excel. | Step by step |
| NextERP (Next Education) | The Custom Student List, as Excel (XLS). | Step by step |
| Edunext | The student list, as Excel. Each class's list works too. | General steps |
| Edisapp | The student list, as Excel. Each class's list works too. | General steps |
| Vidyalaya | The student list, as Excel. Each class's list works too. | General steps |
| Campus 365 | The student list, as Excel. Each class's list works too. | General steps |
| Schoolknot | The student list, as Excel. Each class's list works too. | General steps |
If your software only exports one class at a time, export each class and upload them all; they become one list. The guides for Fedena, MyClassboard and NextERP follow each company's own help pages; the others are general steps until they are checked against a real export, and any student list they export works today. Software names belong to their owners, and tuition.in isn't affiliated with them.
If it won't export
- Use UDISE+. It needs nothing from your software company and covers every active student.
- Print to Excel. Most software that “can't export” can still save a report as Excel. That works, titles and totals included.
- Ask for your data. On the Files step, under your software's guide, Can't export? Ask (your software) for your data opens a ready-to-send letter asking for a full export of your school's records. Copy it into an email. The same letter is on each software's guide page.
Uploading
Drop the files on the Files step or press Choose files. Each file can be up to 15 MB, and a move can have up to 12 files. Excel (.xlsx and the older .xls), CSV, OpenDocument sheets, and the “Excel” files some web software exports that are really web pages all work. A password-protected file has to be saved again without its password first. The same file uploaded twice is refused.
What each file shows
Each file is read as soon as it's uploaded, and its card says, for every sheet:
- how many student rows were found;
- which report it is, when it's one we know (the UDISE+ download, our template);
- AI read the columns, when unusual headings were worked out with AI (see AI and your data);
- Not a student list: set aside, for a sheet of instructions or totals. If it is a student list, press It is a student list.
When your files are in, press Check what we found, and carry on with Checking and going live.
