Moving your school to tuition.in

Bring your students, parents, classes and sections across from your old software, the UDISE+ portal or your Excel registers, and look over your whole school before anything is saved.

Overview

Switching school software usually means sending your Excel files to the new company and waiting for their team to load them. Here you do it yourself, from your dashboard, at your own pace. You upload the files your old software, the UDISE+ portal or your own registers give you, exactly as they are. tuition.in reads them, joins the same child across files, asks you only what it can't settle on its own, and shows you your school, class by class and student by student, before anything is saved.

Most schools finish in an afternoon. Every answer is saved as you give it, so you can stop and carry on another day.

The five steps

Your records
Say where your student records are today: UDISE+, Excel, and the software you use. Each choice gets its own short download guide.

Files
Upload the files as they are. Each one shows what was found in it: which report it is and how many student rows.

Check
Answer what only you can: which column is which, how dates are written, what an odd class name means, which of two children keeps a shared number.

Preview
See your school before it's saved: class strength, your total against the number you know, and any student opened in full.

Go live
Your register, classes and sections are filled in. For 30 days, one click undoes it all.

What keeps it safe

  • Nothing is saved until you go live. Uploading, answering and previewing change nothing on your register.
  • You see it first. The Preview step shows every student exactly as they will be saved.
  • Totals you can check. Class strength section by section, and your school's total against the number you type in.
  • Nothing important on a guess. The columns that say who a student is (name, admission number, date of birth, PEN) and which class they're in are always confirmed by you.
  • What you typed is never overwritten. A student already on your register is matched (by PEN, APAAR ID, admission number, or name and date of birth) and only their empty details are filled in.
  • No messages go out. Going live tells no one. Parents link to their child from their own parent dashboard; if you use WhatsApp or SMS alerts, the numbers you brought across get them from then on.
  • A backup first. If your register already has students, the Go live step offers a download of it as it is now.
  • One move at a time. If two people press Go live, or the page is open in two tabs, they take turns: no student is added twice.
  • Undo for 30 days. See Undo.
We never store an Aadhaar number
An Aadhaar column, including the masked one in the UDISE+ download and “Name as per Aadhaar”, is dropped as the file is read.

Who can do it

The institution's owner, and any team member with the Students permission set to View and change. A member with view-only Students access can look at a move but not change or run it. In a group with several schools, a member limited to one school moves students into that school; every step they take appears in the activity log.

AI and your data

Most files are read by tuition.in's own rules: hundreds of known column headings in English and Hindi, and checks on what the values look like. AI is asked only about what those rules can't settle, such as a heading like “F/Nm” or a report whose headings are hard to find. It is shown:

  • the column headings and the report's title lines;
  • the shape of the values: Aaaaa Aaaaaa for a name, 9999999999 for a phone number, 99/99/9999 for a date;
  • real values only for short lists of answers that identify nobody, such as genders, categories and class names.

It is never shown a student's name, phone number, date of birth, address or ID number. Every AI suggestion is checked against your data, and anything about who a student is or which class they're in still waits for your confirmation. Your uploaded files are stored privately for your school and are deleted when you delete the move.

Undo

For 30 days after going live, Undo this move… on the Go live step shows exactly what it will do, then:

  • removes every student the move added, with their class places;
  • empties again the details it filled in on students who were already on your register, except any you have changed since, which stay as you made them;
  • removes the sections, custom fields and academic year it made, when nothing else uses them now.

A student is kept, and named, when something that can't be taken back has happened since: a fee was paid, a transfer or other certificate was issued, they have a wallet or autopay, store orders, or a feed post. Attendance and marks recorded since going live are removed with the students they belong to; the undo screen says how many before you confirm.

Your files and answers stay after an undo, so you can fix what was wrong and go live again.

Questions

Our software won't export. What now? Use the UDISE+ download, which every recognised school can get without anyone's help, and the letter on the Files step asking your software company for your data. See Getting your files out.

Can we move mid-year? Yes. Students are placed in the academic year you choose on the Go live step (your current year by default). Fee dues mid-year come with the next release.

Can we move in parts? Yes. Move one set of classes, then start another move from Bring in more students. Students already on your register are matched and filled in, never duplicated.
