Team access & the activity log

Your staff sign in as themselves. Each one sees only the parts of your dashboard you open for them, and every change they make is kept under their name.

Overview

Until you invite someone, only you can open your institution's dashboard. Sharing your own password means everyone can do everything, and nobody can tell afterwards who did what. Team access fixes both: a principal can run students, attendance and exams without seeing your bank details, and an accountant can collect fees without touching marks.

Each person uses their own tuition.in account, new or existing. You decide what they can open, they work on your dashboard, and you can take the access away at any time. A team can have up to 200 people.

Inviting someone

  1. Press Invite someone. If the person is already on your staff list, tap their name under From your staff list to fill in the name and email.
  2. Write their name and the email the invite goes to.
  3. If you run more than one school, choose which schools they work at (see below).
  4. Pick a role to start from, then adjust each part of the dashboard. The box underneath says in plain words what they will be able to do.
  5. Press Send invite.

We email the invite, and also show you the link so you can send it yourself on WhatsApp. The link works once, for whichever account opens it while signed in, and expires after 14 days. It is shown only this once; if it gets lost or runs out, press New link on their row.

Only send the link to the person it's for
Whoever accepts the invite gets the access you set, with the account they are signed in to. Knowing their email address is not enough: the link itself is the proof.

Roles and access

Each part of the dashboard can be set to No access, View (they can look but not change anything) or Change. A role is only a starting point: change any part and the role becomes Custom, so the label never misdescribes what someone can do.

The parts are grouped as People (students, admissions, staff, tasks), Money (fees, accounts, payroll), Teaching (timetable, attendance, exams and results, course certificates, announcements), Campus (library, transport, hostel, inventory, biometric, front desk), Welfare (discipline, health, complaints) and Oversight (the activity log, view only).

  • Staff shows the roster, staff attendance and check-ins, leave, lesson observations and appraisals; salaries stay hidden unless they also have Payroll.
  • Tasks opens the staff task list. Members who can change Complaints can also turn a complaint into a task.
  • Discipline with Change also opens confidential incidents, and Complaints with Change also opens sensitive complaints. With View they see everything else.
  • Health is sensitive: give it to the nurse and few others.

Limiting someone to a school

If your institution runs several schools (see Running several schools), the invite asks which schools the person works at.

  • All schools: they see every school's records, and records not tied to any school.
  • One or more schools: they see only those schools' students, staff, batches, fees and campus records, on every page. Anything new they add goes to their school (or the one they pick, if they have several).

This is on top of the parts you open: a principal limited to one school sees that school's students and nothing of the others.

Accepting an invite

The person opens the link, signs in (or creates an account, which takes a minute) and presses Accept the invite. From then on your institution appears under Work for in their menu whenever they sign in. Picking it opens your dashboard as they are allowed to see it, with a page listing what their access covers and their own recent changes. Back to my own account returns them to their personal dashboard.

Someone given access to more than one institution chooses which one to work on, and can switch from the menu at any time.

Changing or removing access

  • Edit access changes their schools and parts. It applies on their next click; they don't need to sign in again.
  • Remove ends their access at once. Their past changes stay in the activity log. Removed people are kept under Show removed; to give access back, invite them again.
  • An invite that hasn't been accepted shows Invite sent or Invite expired. New link makes a fresh one and the old one stops working.

The list also shows when each person was last active, and if they accepted with a different email address from the one you invited, it says so.

What stays with you

Some things are never shared, whatever access you give:

  • Your bank account and payouts, including each school's own bank account.
  • Your plan, verification and public profile.
  • Courses and the AI tools.
  • Team access itself: a member never invites, changes or removes anyone.
  • The full export on the Group Dashboard.

The activity log

The Activity Log lists every change made on your account, by you or by anyone on your team, with the person's name and the time: a fee recorded, a mark entered, a book issued, a record edited, a member's access changed. Looking at a page is never recorded, only changes.

  • Changes are grouped by day, newest first. Show older goes further back.
  • Filter by person and by area (fees, students, exams and so on).
  • Download CSV saves what you are looking at, filters included.

You can always open it. A member can open it only if you give them the Activity log part, which is view only: nobody can change or delete an entry.

Questions

Does the person need a special account? No. Any tuition.in account works, including one they already use as a tutor or parent. Their own account stays separate; your institution is just another place they can work.

Can I see what someone did last week? Yes: open the activity log, pick their name, and scroll or download.

A teacher left the school. Press Remove on their row. Their access ends at once and their history stays.

Can a member see my earnings? Only the parts you open. Payouts and bank details are never shared; the Accounts part shows income and expenses to those you give it to.
