Running several schools

One account for the whole group. Each school keeps its own records, numbers and certificates; the central office sees them side by side.

Where to find it
Schools are set up under Operations, on the Branches & rooms tab. The Group Dashboard is in the sidebar, under Campus. The school switcher sits at the top of the sidebar once you have schools.

Overview

A group that runs three schools needs each school to print its own name on TCs, number its own admissions, and keep its students apart from the others, while the owner and the central office can still see everything. On tuition.in every school is a branch of your account with its own school details. Records (students, staff, sections, fees, the front desk and so on) are tied to the school they belong to.

Your staff can be limited to their own school, so a principal at one campus sees only that campus. See Team access.

Making a branch a school

Add each school as a branch under Operations → Branches & rooms (see Branches, rooms, clashes & cover), then press School details on it. Every field is optional; a blank one falls back to your institution's own.

Give each school a prefix before it admits anyone
A school numbers its own students only once it has its own prefix. Without one, two schools' 0001 would be the same admission number, so they share the institution's series instead.

The school switcher

Once you have schools, a School box appears at the top of the sidebar on your institution pages. Choose All schools or one school:

  • Every list on every page narrows to that school: the register, sections, fees, attendance, report cards, the front desk and the rest.
  • Anything new you add is filed at that school.
  • The choice is remembered on that device.

A team member limited to some schools sees only those in the switcher. Records that belong to no school (anything made before you set schools up) show under All schools, marked Not tied to a school.

Schools side by side

The Schools tab of the Group Dashboard puts every school in one table for this academic year, with an arrow on the best and the lowest school for each measure:

  • Students, with how many joined and left this year.
  • Attendance over the last 30 days, with the change from the 30 days before. Schools that keep the daily register are measured by it (every student); others by their batch class registers (students with accounts only).
  • Fees collected as a share of what was due, and overdue fees, split by how late they are: 1–30, 31–60, 61–90 and over 90 days.
  • Admissions: applied, offered a seat, admitted, waitlisted, on each school's own forms.
  • Results: the average in published tests, and how many reached the pass mark (the test's own, else 33%).
  • Money for the month: income and expenses.

Each column shows only if the person looking has access to that part: someone with Fees but not Accounts sees collections but not the month's money. A gate machine that has gone silent at any school is flagged at the top, because that school's attendance will look low until it is back.

Group notices

The Notices tab sends one notice to chosen schools at once: School closed on Monday, an exam timetable, a holiday.

  1. Write a title and the message, and pick its kind: General, Schedule change, Exam, Holiday or Urgent.
  2. Choose who: students, their parents, staff, or any mix.
  3. Tick schools (none ticked means every school you look after) and, optionally, classes. Classes go by this year's sections; staff are not narrowed by class.
  4. Optionally set a date to hide it after, and pin it to the top.
  5. The line above Send says how many people it reaches (students, parents, staff). Send asks you to confirm that number.

It arrives as a notification, and students also see it on their notices page. The Sent list shows each notice with how many it went to and how many students read it; you can pin, unpin or take one down. The whole group can send up to 10 notices a day.

Custom fields

The Custom fields tab adds your own questions to the student register form and the staff form, the same at every school: house, transport mode, mother tongue, PAN, police verification date.

  • Each field takes text, a number, a date, a choice from a list, or yes or no, and can be required on the form.
  • Student fields are also a column in the register's CSV and in the export.
  • Up to 40 each for students and staff.
  • A field nobody has filled in can be deleted. One that has answers is switched off instead, and the answers are kept.

Because the fields are shared by every school, you change them with All schools picked in the switcher.

Exporting everything

The Export tab, which only you see, downloads one ZIP of spreadsheets (CSV): the student register with custom fields; classes, sections and roll numbers for every year; staff with salaries; school fee dues and every payment with its receipt number; batch fees; admission applications; attendance marks; test results; the library catalogue; stock; expenses; and the activity log. With one school picked in the switcher it covers that school only. Each download is noted in the activity log.

Questions

One of our schools starts its year in June. Create an academic year for that school alone; see Classes, sections & promotion.

Can schools charge different fees? Yes. A group fee structure applies everywhere a school has none of its own; any school can make its own copy and change it. See School fees.

Does each school get its own bank account? Yes, for fees families pay online. Only you can set it up; see School fees.

We added schools after a year of use. Older records belong to no school and appear under All schools. Edit a record to tie it to its school.
