Overview
Open Operations in the sidebar. Seven day columns, every batch together, with the week you are looking at named at the top and arrows either side of it.
A per-batch timetable can never show you a room booked twice or a teacher in two places, because both of those happen between batches. This is the screen that can.
Naming your rooms
Until your rooms have names, nothing can be compared: "Hall A" typed into one slot and "hall A" typed into another are two different pieces of text, not one room.
- Open the Branches & rooms tab.
- Add each teaching space — a room, a lab, the hall. Seat counts are optional.
- Go back to Batch Timetable. The free-text room box is now a picker, and so is the teacher box if you have staff.
- Pick a room and a teacher as you add each slot.
From then on the board can catch double bookings, and so can the slot form as you type.
The three kinds of clash
- Batch — this batch already has a class then. You cannot save it. A batch cannot be in two places.
- Room — that room is taken by another batch. You are warned, and offered Add it anyway.
- Teacher — that teacher is already teaching another batch then. Warned, and overridable.
Room and teacher clashes are overridable because they are sometimes what you mean — a hall divided by a partition, a teacher floating between two halves. A batch clash never is, so it is not offered.
Back-to-back is not a clash
Recording leave
- Open the Leave tab.
- Pick the teacher, the first and last day, and optionally a reason.
- Press Record.
Dates are inclusive on both ends: the 14th to the 16th is three days off, which is what everybody means by it.
Recording leave is what turns "who is taking 4pm Physics?" into a question the board answers on Sunday evening rather than at 3:55pm on Monday.
Arranging cover
Any class whose teacher is on leave with nobody named shows Needs cover in red, and the board counts them at the top.
- Press Arrange cover on the card.
- Pick who is taking it. The teacher who is away is not offered as their own substitute.
- Press Assign. The card now reads Covered, naming who is standing in for whom.
Or press Call it off to cancel that one occurrence — a holiday, a strike, a wedding — without touching the weekly slot.
Cover applies to one date, not to the slot forever. Naming somebody else afterwards corrects it rather than leaving two conflicting answers, and Undo clears it back to normal.
Branches
If you run more than one centre, add a branch for each on the Branches & rooms tab, file your rooms under them, and place each batch at one. The branch selector then filters the whole week.
If you teach from a single place you never need to create one, and nothing about your dashboard changes.
