Tasks
On Tasks, press Task and say what needs doing, who does it, when it's due and how urgent it is (low, normal, high or urgent). Staff with a tuition.in login are told and see it on My work; for someone without a login, tell them yourself.
- Open a task to follow it up: comments go back and forth with the person doing it, and every change of status is noted in the thread with who made it.
- A task is To do, Doing or Done. A task past its date and not done shows as overdue.
- The office can cancel a task (with a note) or reopen one. Nothing is deleted: cancelled tasks stay on the Cancelled tab.
- Filter by person, or search; the Done tab shows what's finished.
Repeating tasks
For what comes round again, such as morning gate duty, the weekly fire-safety check or the monthly stock count, use Repeating → Repeating task: every day, a chosen day each week, or a day from 1 to 28 each month, from a start date and until an end date if you like.
Each one is made a week ahead, so it shows on the person's My work in time, and a day is never made twice. Stop keeps the ones already made; Start again carries on from today.
Tasks from complaints
Open a parent's complaint on the Welfare page and press Make it a task. The task carries the complaint's reference and subject (C-2627-0041: Broken fan in Class 7B), goes to whoever looks after the complaint, is due when the complaint is, and is high priority. The complaint gets an internal note that a task was raised; the parent doesn't see it. For a sensitive complaint, the task carries only the reference, never the parent's words.
What staff see
On My work, Your tasks lists what's due (and last week's done ones), overdue first. They mark a task Doing or Done (or Not done if they marked it by mistake), and open it to read the details and comment. Whoever set the task is told when they comment or finish. Staff can't cancel a task; they ask the office.
Appraisals: how a cycle runs
- Being set up: you choose the period, the competencies and the weights, add people with their reviewer and KRAs.
- Self reviews open: everyone rates themselves on My work and submits.
- Reviewers rating: each reviewer rates the people they review, with the self review and the year's lesson observations in front of them.
- Shared and closed: you share each result; the person reads it and acknowledges it.
Everyone with a login is told at each step. A cycle can be cancelled until it closes; it's kept, not deleted.
Setting up a cycle
- The period: the dates the review covers, usually the academic year. Lesson observations in these dates count.
- Competencies: what everyone is rated on, 1 to 5. Eight to start with: subject knowledge, lesson planning, classroom management, student engagement, assessment and feedback, working with parents, teamwork, and punctuality and conduct. Change them as you like.
- Weights: how much the KRAs, the competencies and lesson observations count, adding up to 100 (50, 30 and 20 to start with).
- People: tick who is being appraised and choose their reviewer: the owner, or any staff member with a login (often the principal or a head of department). Nobody reviews themselves.
- KRAs: one to eight key result areas for each person, each with a target you can check (Class 10 maths pass rate: 95% or more) and a weight, adding up to 100. Save for everyone without a self review gives the same KRAs to the whole cycle; change individual ones after.
Self reviews can't open until everyone has KRAs and a reviewer. Once they open, the competencies and weights are fixed, so everyone is rated on the same terms; a person's KRAs are fixed once they submit their self review.
The self review
On My work, under Appraisal, each person rates themselves 1 to 5 on each KRA and competency, with a note where it helps, and writes a few lines about their year. Save for later keeps a draft; Submit to my reviewer sends it, and the reviewer is told. A submitted self review can't be changed, and self reviews close when the cycle moves to reviewer ratings.
The reviewer's review
Once you start reviewer ratings, each reviewer finds Review: name on My work (or at the top of the Appraisals page if they're the owner or a team member). They see the person's own ratings and words, and the lesson observations in the period with their averages. They rate every KRA and competency, write their overall comments and submit. The score so far is shown as they go. Nothing the reviewer writes reaches the person until you share it.
How the score is worked out
Only the reviewer's ratings count. The self review is there to be read, not averaged in.
- KRAs: each rating times its weight (a 5 on a 60% KRA and a 3 on a 40% one make 4.2).
- Competencies: the average rating.
- Lesson observations: the average of the rating questions in each observation in the period, averaged.
The three are combined by the cycle's weights: 4.2 × 50% + 4 × 30% + 3.5 × 20% = 4.0. Someone with no observations in the period has that part's weight shared between the other two in proportion. The score is fixed when the result is shared, so a later observation doesn't change it.

Sharing the results
When a reviewer has submitted, Share that person's result, or Share all reviewed results at once. The person is told, reads their score, band, the reviewer's ratings and comments beside their own, and presses I've read it, with a comment if they want to add one (I'd like training on the new syllabus). You see who has acknowledged. Close the cycle when you're done. Someone can be taken out of a cycle until their result is shared; they're marked as removed, not deleted.
Who can do what
- Tasks access opens the Tasks page (principals have it to start with). Raising a task from a complaint is also open to members who can change Complaints.
- Appraisals are part of Staff: view to see cycles and results, change to run them.
- A member limited to one school sees that school's tasks and staff, and gives tasks only to its staff.
- Reviewers write reviews by their own login: being someone's reviewer doesn't need any access to the office pages.
Questions
Can a staff member see someone else's appraisal? No. They see their own, and the ones they review.
Do appraisals change pay? Not by themselves. Use the band when you decide increments, and change salaries in payroll.
Can we remove a staff member who has tasks or an appraisal? Mark them inactive instead; their record is kept.
