Welfare: discipline, health & complaints

The discipline register, the sick room and check-ups, and parents' complaints answered to a due date. Confidential and sensitive records stay with the few who should see them.

Overview

A school's welfare work usually lives in three paper books: the discipline register, the sick-room book and the complaints file. Here they share the student register, so a sick-room visit names the right child and reaches the right parents, and a complaint can be followed to its answer.

The three are separate parts of the dashboard because they are sensitive in different ways. The Nurse role opens health; the Counsellor role opens discipline (including confidential incidents) and reads complaints. See Team access.

Discipline incidents

On the Discipline tab press Record an incident:

  • The date and category: late coming, uniform, classroom conduct, bullying, fighting, damage to property, cheating, phone or device, or other.
  • How serious: minor, moderate or serious.
  • What happened, in a few lines.
  • The students, each as involved, affected or witness.
  • The action taken (warning, parents called, detention, counselling, suspension or other), and a date to follow up on.
  • Confidential: seen only by you and members with Discipline set to Change. Bullying is confidential unless you untick it.

The tab counts open incidents, serious ones and follow-ups due. Switch between open and closed, and close an incident when it is dealt with. See this student's history lists every incident a student has been part of.

Telling the parents

Parents are never told automatically. Tell the parents on an incident lets you write the message yourself (Please meet the class teacher on Friday about an incident at lunch). It goes to the families of the students involved and affected, never to witnesses' families, and never includes the incident's own notes. The message and when it was sent are kept on the incident.

Health

The Health tab has three parts.

Sick room. Under Record a visit, find the student and note what they said, their temperature (°C or °F; it is kept in °C), what was given or done, and the outcome:

If a family can't be reached in the app, you're shown who to call, with the number. Today in the sick room lists the day's visits.

Check-ups. Annual check-ups are entered by section: pick the section and the date, and fill in height, weight, vision (left and right), dental and hearing for each student, with the doctor or nurse who did it. BMI is worked out for you, and the latest height and weight fill each student's UDISE+ profile.

A student. Find a student to see their health profile (allergies, conditions, regular medicines, dietary needs, emergency contact, family doctor, and blood group from the register), their sick-room visits and their check-ups. Parents can keep the profile up to date from the app.

Complaints

Parents raise complaints from the app, choosing what it's about and which child. Ones that come by phone or in person are logged at the desk: Log a complaint, with the person's name and mobile and, optionally, the child.

  • Categories: studies and teaching, transport, fees, safety, facilities, a staff member, food, bullying or harassment, something else.
  • Complaints about safety, a staff member, or bullying or harassment are sensitive by default: only you and members with Complaints set to Change see them.
  • Each gets a reference number (C-2627-0001) and is due in 7 days. The tab counts open complaints and those past their due date.

Handling a complaint

  • Assign it to a staff member and change the due date if it needs longer.
  • Reply: the parent sees it and is told. The first reply moves it from Open to Being looked into.
  • Internal note: for staff only; the parent never sees it.
  • Mark it Resolved when it is dealt with; the parent is told and asked to check.

Filter the list by open, resolved, closed or all.

What parents see

On the Parent Dashboard a parent sees, for each child at the school:

  • Health: the profile they can update, sick-room visits and check-ups.
  • Complaints and concerns: raise a new one, follow the replies, reply back, and once it is resolved either rate it (1 to 5, which closes it) or reopen it if it isn't sorted. Replying to a resolved complaint reopens it too.

Discipline incidents are not shown to parents; they hear only what you choose to tell them.

Who sees what

  • Discipline with View: every incident except confidential ones. With Change: confidential ones too.
  • Health: everything on the Health tab. Give it to the nurse and few others.
  • Complaints with View: every complaint except sensitive ones. With Change: sensitive ones too, and logging them.
  • With several schools, each person sees only the schools they work at.

Questions

A child was sent home but the parents have no app. You're shown the guardian's number to call as soon as you save the visit.

Can a parent complain anonymously? No. A complaint is answered to the person who raised it. A sensitive complaint is still seen only by the few with Complaints set to Change.

Is any of this in the activity log? Yes: every incident, visit, check-up and staff reply is recorded under the name of whoever made it.
