Overview
Every year a school files each student's details on the UDISE+ portal, and each student now needs a PEN (the 11-digit UDISE+ Student National Code) and an APAAR ID (the 12-digit ID made with the parent's consent). This page works from your student register and sections, so you see the gaps before the deadline instead of on the portal.
What's missing
The UDISE+ tab counts the students placed in a section in the year you pick: how many profiles are complete, how many have no PEN, how many have an APAAR ID, and how many parents gave or declined APAAR consent.
What's missing checks each student for: PEN, APAAR ID, date of birth, gender, mother's name, father's or guardian's name, social category, address and pincode, a mobile number, and mother tongue. Tap a check to list who lacks it, or Anything for everyone with a gap. Each row has UDISE+ profile to fix it.
A student's UDISE+ profile
The profile shows the details that come from the register (date of birth, gender, parents, category), with any gaps in amber; change those on the register itself. Below them you fill in what only UDISE+ asks for:
| Group | Asks for |
|---|---|
| IDs | PEN and APAAR ID |
| General | Mother tongue, pincode, alternate mobile, minority group, BPL (and Antyodaya Anna Yojana), EWS or disadvantaged group, Indian national |
| Special needs | Child with special needs, then the type of impairment, disability certificate and percentage |
| Enrolment | Out of school before (and mainstreamed), medium of instruction, languages studied, last year's status and class, admitted under RTE 12(1)(c) |
| Health and home | Height, weight, distance from home to school, highest education of a parent |
| APAAR | Consent: not asked yet, given, or declined |
Follow-up questions appear only when the one before is answered yes. Height and weight fill in by themselves from the latest health check-up.
PEN and APAAR from the portal
Rather than typing hundreds of IDs, download the student list from the UDISE+ portal (or keep your own spreadsheet) with an Admission No column and a PEN and/or APAAR ID column, and press Import PEN and APAAR. You're told how many students were updated, and which lines had no matching admission number, an invalid ID, or an ID already given to another student.
Exports
The exports follow the order and codes of the UDISE+ data capture format (2025-26), to copy into the portal or hand to your MIS coordinator:
- Student profile (4.1–4.3).
- Year-end progression (4.5): each student's result and overall percentage from their final report card, and days attended from the daily register.
- Sections.
- Enrolment by class, gender and category.
If you run several schools, pick one school in the switcher before exporting, so each file holds one school's students for its own UDISE+ return.
Certificates
The Certificates tab issues the certificates parents ask the office for, written from the register:
| Certificate | For |
|---|---|
| Bonafide certificate | Studying here this year: for a bank account, passport, scholarship or bus pass |
| Character certificate | Conduct while at the school (good, very good or excellent), usually given on leaving |
| Study certificate | The years and classes studied here, from each year's section: for local status in Andhra Pradesh and Telangana admissions |
| Fee certificate (Section 80C) | Tuition fees paid in a financial year, for the parent's income tax |
Transfer certificates are issued from the Student Register; see ID cards & transfer certificates.
Issuing one
- Press Issue a certificate and find the student.
- Pick the certificate. You see the class, the parent's name and date of birth it will print, with anything missing in amber.
- For a bonafide or study certificate, say what it is for: it prints as issued on request for the purpose of …. For a character certificate, pick the conduct.
- For a fee certificate, pick the financial year and tick the heads that are tuition. Section 80C covers tuition only, so admission, development, transport and exam fees are left out. The certificate total updates as you tick.
- Press Issue and print.
Each certificate gets its own number in its own series (BC/2627/0031 for a bonafide) and prints with the school's details and a QR code. Like a TC, it never changes after issue: editing the register later doesn't rewrite a certificate already given.
Checking, duplicates and cancelling
- Checking: scanning the QR shows the school, the certificate, the student's name, admission number and class, the date of issue and, for a fee certificate, the amount and financial year.
- Duplicate: when the original is lost. It has its own number and QR and is marked as a duplicate.
- Cancel: when one was issued with a mistake. You must give a reason, which anyone scanning it then sees. Issue a correct one afterwards.
Questions
Who can issue certificates? Team members with the Students part. A fee certificate also needs access to Fees, because it shows what was paid.
Can I delete a student who has a certificate? No. Certificates are documents about them, so the record is kept; mark them as left instead.
A parent wants an 80C certificate for both children. Issue one for each child; each lists the tuition paid for that child.
