Marks & school report cards

Set up how each set of classes is assessed once, enter marks by section and subject, and the report cards work themselves out: totals, grades, attendance and the year's result.

Overview

These are the school's term and annual report cards, for every student placed in a section, with or without an account. They are separate from the batch progress report, which summarises a batch's tests for students with accounts.

Three steps: an exam plan says how a set of classes is assessed, teachers enter marks, and the report cards are worked out from them, ready to print or publish.

Exam plans

On the Exam plans tab press New plan and start from your board's pattern, then adjust it:

A plan has:

  • Classes it covers, a pass mark (% in each subject, 33 by default) and how many failed subjects still allow a re-exam (2 by default).
  • Terms, with dates. A term with Own total gets a subtotal and grade on its card; otherwise its marks feed the year's total.
  • Parts of each term: what's entered (out of) and what it adds to the total. A part that adds 0 is shown on the card but not counted, like a periodic test whose marks only feed a combined part.
  • Combined parts: several parts that count as one, by best of, average or total. Best two of three periodic tests, scaled to 5.
  • Subjects: Marks subjects, each assessed on the parts you tick, and Graded areas (work education, art, health and physical education, discipline) that get a grade each term instead of marks.
  • Grades: CBSE 8-point (A1 to E2), State CCE (A1 to E), marks and percentage only, or your own bands; and A, B, C or A to E for the graded areas.
  • Grace marks and re-exams: whether grace marks are given, and how many in how many subjects; and what a re-exam is marked out of. See Grace marks and Re-exams.
  • How the card looks: Classic, Board format, Modern or Compact. See Card designs.
  • Optionally, Also keep the Holistic Progress Card; see The Holistic Progress Card.

If you run several schools, a plan made with All schools picked is the group's, used by every school. A school's staff see it read-only and can press Copy for my school to change their own copy. The tab warns you about any class no plan covers, because its marks can't be entered until one does.

Entering marks

  1. On the Marks tab pick the section, then the subject and the term.
  2. Type each student's marks in the columns for that term's parts. AB means absent (counts as zero), EX exempt (left out of the total). Clearing a box clears the mark. A mark above the maximum is shown in red and can't be saved.
  3. Untick Takes it for a student who doesn't take an optional subject.
  4. Press Save.

For graded areas, pick a grade for each student instead. To work in a spreadsheet, Sheet downloads the class list with its columns; fill it in and bring it back with Fill from sheet. Rows are matched by admission number, and you're told about any line that didn't match.

Report cards

On the Report cards tab pick the section and a term, or Final (the year). Each student shows:

  • Their overall percentage and grade, or the marks still missing.
  • Days attended out of working days, from the daily register.
  • The class teacher's remarks, typed straight into the row.
  • Whether the card is a Draft, Published, or Changed since it was published.

The printed card has the school's name and logo, the student's details (admission and roll number, class, date of birth, parents, PEN and APAAR ID where you have them), scholastic and co-scholastic areas, attendance, the result, remarks, signature lines for the class teacher, principal and parent, and a QR code.

The year's result

On the final card the result is suggested from the marks: Promoted with the pass mark in every subject; Re-examination when failed in no more subjects than the plan allows; Detained beyond that. Subjects below the pass mark are listed under the result. Change it with one tap where the school decides otherwise.

Grace marks are applied first, then the re-exam rule, as below. A student with grace marks shows Grace marks in Hindi under the result.

A Detained result makes Keep back the starting choice for that student at promotion, and the result goes into the UDISE+ year-end sheet.

Grace marks

Many schools lift a student just short of the pass mark. In the plan, tick Give grace marks and set the limit: up to 5 marks in each of up to 2 subjects, say. With every mark in, the final card then:

  • looks at the subjects below the pass mark and how many marks each is short;
  • gives grace only where it turns the fail into a pass, never to raise a passing mark;
  • starts with the smallest shortfall, and stops at the plan's number of subjects.

Grace is counted out of 100: in a subject whose year is marked out of 200, 5 grace marks are 10 of its marks. The printed card marks the total with an asterisk and says underneath how many grace marks went to which subject. Grace changes nothing on the marks sheet; turn it off in the plan and the cards go back to the marks as entered.

Re-exams

The Re-exams tab lists, section by section, the students whose year came out Re-examination (after any grace), each failed subject with its marks for the year, and a box for the re-exam mark.

  1. Type each re-exam mark, out of what the plan says (100 unless you changed it), or AB for absent. A mark can only go against a subject the student failed.
  2. Press Save. The plan's pass mark applies: a re-exam of 40 out of 100 passes at 33%. Absent doesn't pass.
  3. Once every re-exam of a student is in, the result follows: all passed is Promoted, any not passed is Detained. With one of two still to come, it stays Waiting.
  4. On Report cards the student's final card now shows Changed. Publish it again: the student and their parents are told the re-examination result, and the card says Promoted (after re-examination), with the re-exam marks in their own column.

A result you chose by hand on the Report cards tab is left alone: re-exam marks only move a result that was following the marks. Clearing a re-exam mark puts the student back to waiting.

Publishing and printing

  • Publish releases every ready card that is new or changed: the student and their linked parents can see it, and they are told. A card with marks still missing, or a final card with no result, is held back and you're told whose.
  • A published card is frozen as it was. If marks change afterwards, the card shows Changed; publish again to release the new version.
  • Withdraw takes a published card back: the family no longer sees it, and its QR says it was withdrawn.
  • Print all prints the whole section, one card per A4 sheet (two with the compact design); the icon on a row prints one student's.

Card designs

Each plan picks how its cards look, under How the card looks. The marks, grades and result are the same in all four.

A published card keeps the look it was published with until you publish it again.

Against last year

The Last year tab compares this year with the year before it. This year comes from the marks entered so far, counting only students whose card has every mark in; last year comes from the report cards the school published, so publish last year's cards before relying on it. Choose The year, or one term to compare it with the same term last year.

  • Sections: each section's average, how the same students did last year wherever they sat (a dot for last year, a dot for now, joined in green if they went up and red if down), and last year's students of the same class.
  • Subjects, class by class: each subject's average against the same class last year.
  • Students: each student's overall then and now, last year's class, and the three subjects that moved most. Biggest drops first is the list to start with for a parent-teacher meeting.

The counts at the top say how many students are in both years, and how many went up or down by a point or more. If your school has several campuses, each campus sees only its own sections and figures. For board exam results, see the Board result analyser.

Checking a card

Scanning the QR on a published card with any phone camera opens a page on tuition.in showing the school, the term and year, and the student's name, admission number, class, overall result and grade. A card that has been withdrawn says so. A made-up or altered card isn't found. Another school, a scholarship office or a coaching centre can check a card in seconds.

What families see

A student with an account finds their published report cards on their Campus page, with the term, year, percentage, grade and result; a linked parent sees the same on the Parent Dashboard. Drafts are never shown.

Who can enter marks and publish? You, and team members with the Exams and results part set to Change. See Team access.

Our pattern isn't listed. Start from the closest preset or a blank plan: terms, parts, weights, combined parts and grade bands are all yours to set.

Can I delete a plan with marks in it? Yes, but the marks go with it, and the button says how many first.

Does grace show on the marks sheet? No. The marks stay as entered; grace is worked out on the final card, so it changes if the marks or the plan change.

Last year's figures are empty. They come from the cards published last year. If last year's cards were printed but never published, there's nothing to compare with yet.
