Circulars and notices

The way the school office writes them: letterhead, number, subject line, signature, and the slip that comes back in the school bag.

Overview

Open Circulars & Notices in the sidebar. Every circular prints on your letterhead in one of five formats: a school circular, a framed notice for the notice board, an office order for staff, a letter to parents, or a plain coaching notice. Switching format keeps every word you have written.

Starting one

Start from a blank page or from a circular written the way a school office writes it: a Parent-Teacher Meeting, a holiday, a date sheet, a fee reminder, an excursion consent form, the Annual Day, winter uniform, a staff meeting, invigilation duty, a batch timing change or admissions. Dates are filled in from today and never fall on a Sunday.

Square brackets are blanks
Anything only you know is in [square brackets]: [venue], [amount], [Half-Yearly Examination]. The studio lists every one still left, and a circular with a blank in it cannot be issued.

Writing on the page

Type straight onto the circular: whom it is to, the subject, the body, the signature. Click a paragraph to turn it into points, numbered points or a table, or to add another after it. In a list, Enter starts the next point and Backspace on an empty one removes it. Click the date to change it.

Numbers and issuing

A circular gets its number when it is issued, not when it is drafted, so abandoned drafts never leave gaps in the series. The number follows a pattern: your school's initials, the academic year (April to March) and a three-digit count, such as SPS/2026-27/046. The series starts again each academic year. Office orders have a series of their own.

  • Already at circular 45 this year? Use Change the numbering to carry on from 46. The count can only go up.
  • Once issued, a circular is locked, so the copy in the file is the copy that went home. To correct one, make a corrected copy; it gets a new number.
  • Printing a draft leaves the number line blank to be written in by hand.

The reply slip

Turn on a slip under Reply slip: an acknowledgement, a consent form, a will-attend slip, or your own. It prints below a cut line with tick boxes and lines for the student's name, class, the parent's signature and a return-by date. Write {number} and {date} in its first line and the circular's own number and date are filled in.

Half a page

A short notice can print at half size, two copies on one A4 sheet with a cut line between them: half the paper. If the circular is longer than half a page, the studio warns you before printing.

Sending it to the app

Send to the app posts the same circular as an announcement to one batch or to all your students. It carries the number and date, so parents can tell it is the same circular. Students are notified, linked parents see it on their dashboard, and the announcement shows how many have read it.
