Overview
Admissions replaces the paper form, the WhatsApp photos of birth certificates and the register of who you called back. It has two halves:
- Forms: what you ask, for which classes, and the public link parents use. Most centres have one form per session; a school might have one for Nursery and one for Classes 1 to 9.
- Applications: everything parents have sent, with a status you move along. When you admit someone, they go onto your student register with an admission number and, if you choose a batch, get a student login and are enrolled.
Building a form
- Open Admissions, then the Forms tab, and press New form.
- Title: what parents see at the top, such as Admissions 2027-28.
- Session (optional): 2027-28. Application numbers follow it:
APP/2728/0001,APP/2728/0002and so on. - A few words for parents: what happens after they apply, fee ranges, test dates, documents to bring. Keep it short; it sits above the form.
- Classes or courses, one per line: Nursery, Class 6, JEE 2027 (two-year). The parent picks one.
- Documents to attach, one per line, up to six. Birth certificate, last report card and a photo are the usual ones.
- Admit into these batches: tick the batches an admitted student might join. You choose one when you admit; leave it empty to admit onto the register only.
- Optionally a closing date. After that day ends (Indian time) the link says applications are closed.
- Press Create form. You get its link and QR code straight away.
Choosing the questions
Every form always asks for the student's name, the class, a parent's mobile number, an optional email, and a signed declaration (the name of the person filling it in and how they are related). Everything else is your choice:
| Question | Why you might ask it |
|---|---|
| Date of birth | Age-for-class rules; printed on ID cards and the TC. Also tells us the child is a minor, so the privacy rules for children apply from their first login. |
| Gender | Hostel allocation (a boys' hostel only takes boys on the register). |
| Father's, mother's and guardian's names | The register and the transfer certificate. |
| Home address | Transport planning; ID cards. |
| Previous school, last result | Placement and the admission test. |
| Blood group, allergies or medical conditions | ID cards and the first-aid room. Medical notes are kept as staff-only notes on the register. |
| Category (SC/ST/OBC/EWS/General) | Only if your board's TC asks for it. Parents are told it is optional and why it is asked. |
| Sibling already studying with you | Sibling concessions. |
| Needs transport / needs a hostel place | Flags on the application so you can plan seats and beds. |
For each question you switch on you can also tick required. Ask only what you use: every extra question is a reason for a parent on a phone to give up.
Sharing the form
Each form has a link and a QR code on the Forms tab:
- Copy link for your website, Instagram bio or Google Business profile.
- Share on WhatsApp opens WhatsApp with the link ready to send to your parent groups.
- The QR code: take a screenshot and put it on your admission poster, pamphlet or the board at the gate. Parents scan and apply on the spot.
Families not ready to apply can use the form's enquiry page instead; the school follows them up and can send them this form already filled in. See Admission enquiries.
What the parent sees
A short, phone-friendly form with your name, logo and address at the top and your introduction beneath it. They fill in the student's details, attach photos or PDFs of the documents (up to 3 MB each; a phone photo is fine), type their name in the declaration and tick it.
When they send it they get an application number and a private status link. If they gave an email, the link is emailed to them too. They need no account.
The applications list
The Applications tab lists every application, newest first, with the class, the parent's name and phone, and chips for Transport or Hostel if they asked. You are notified the moment one arrives.
- Filter by status (In progress covers new, under review, test, offered and waitlisted), by form, or search by name, application number or phone digits.
- Click an application to see every answer, download the attached documents, and move it along.
- Call or WhatsApp the parent straight from the application.
Statuses, and what each tells the parent
| Status | The parent reads |
|---|---|
| New | We have your application and will look at it soon. |
| Under review | The admissions office is reviewing your application. |
| Test or interview | You're invited for a test or interview, with the date, time and your note. |
| Offered | You've been offered a place. Please contact the office to confirm it. |
| Waitlisted | You're on the waiting list. We'll tell you if a place opens up. |
| Not offered | We're unable to offer a place this time. Thank you for applying. |
| Admitted | Admission is complete. Welcome! (with the admission number) |
| Withdrawn | This application has been withdrawn. |
Each change is recorded in the application's history with who made it. If the parent gave an email, each change is emailed to them. A Not offered application can be moved back to review if you reconsider.
Calling a student for a test
- Move the application to Test or interview.
- Fill in the date and time and what to bring or know (Room 12, bring two pencils), then Save details.
The parent sees both on their status page. The message to the parent box is for an offer's terms or next steps; office notes are never shown to them.
Admitting
Press Admit on the application. You can:
- Admit onto the register only: the student gets the next admission number (or one you type), with the class, date of birth, parents, phone and address copied from the form. Use this for a school where students don't log in, or to enrol them in a batch later.
- Admit and enrol in a batch: as above, plus a student login and an active enrolment in the batch you pick. You need the student's own email for this.
Admitting is final: an admitted application can't be moved to another status, because the student is already on your register.
Student logins, safely
When admitting creates a login, no one is given a password. The student is emailed a link to set their own, which works for seven days. If it expires they use Forgot password on the login page.
The parent's status page
Parents open it with the private link, or on tuition.in/apply/status with their application number and the mobile number they applied with. A wrong number and a wrong phone get the same answer, so the page can't be used to guess other people's applications. It shows the status in plain words, any test date and your message, the history, and your phone number and email to contact you, with any fee due and its receipts (below).
Fees and seat offers
On Fees & offers, set for each form (the institution account only):
- An application fee, paid on the parent's status page after applying, and whether an application counts as complete only once it is paid.
- A seat confirmation fee, paid to accept an offer, and how many days an offer stays open.
Payments go through Razorpay, to your bank account when Route is set up for the branch, and each gets a receipt from its own series (ADM/2026-27/00001). A fee paid at the office can be recorded too.
The merit list: record each applicant's score (a test, an interview or marks) and they are ranked, ties going to whoever applied first. Offer the next N seats sends each of the next families on the list their own link. On it they pay the seat fee to accept (or accept, when there is no fee) or decline. A declined or expired offer frees the seat; offer the next round when you are ready.
Who continues next year
Before admissions open, Next year asks each current family, by class, whether their child will continue in the next session: one message, answered in ten seconds. Families who are leaving or unsure are asked why (fees, moving, distance, studies, another school, transport). You are told at once, and see the seats likely to come free in each class and the families to speak to while they are still deciding. Each family is asked once a session.
Closing a form
Press Close on the form (or let its closing date pass). The link then says applications are closed and shows your phone number. Reopen puts it back. A form with applications can't be deleted, and a class people have applied for can't be removed from it, so every application stays readable. Start a new form for the next session instead.
Exporting
Export CSV on the Applications tab downloads every application with every answer, one row each, for the selected form or all of them.
Children's data
- The form tells the parent in plain words who receives the details (you), what for (this admission), and that they can ask you to correct or delete them.
- The declaration records who filled it in and how they are related, with the time. A child under 18 can't sign for themselves; the form asks for a parent.
- Documents are stored privately and are only ever downloaded by you, as files. Nobody else can open them, and they are never served as web pages.
- See Data protection & parental consent for how consent works once a student has a login.
Questions
Can I take an application fee online? Not through the form yet. Mention the fee in your introduction and collect it at the office, or add it to the student's fee plan after admitting.
A parent applied for the wrong class. Mark it withdrawn and ask them to apply again, or admit them and set the right class on the register.
Can I have separate forms for different branches? Yes. Make one form per branch, each with its own batches ticked.
Where do admitted students go? To the student register, and, if you picked a batch, into it, where they see their classes like any other student.
